Room Manager allows you to securely store your clients' credit card information.
Note: Credit card details will only be stored in the credit card vault for seven (7) days from the booking departure date. After this time you will only be able to view partial credit card details and the credit card details will appear hashed out.
Once you add your guest's credit card details manually to the booking reservation form and click save button, the payment details will be stored in a password secured Credit Card Vault.
Repeating this action with the new cc details will replace the cc number stored in CC Vault with the new details.
For all your online bookings (where the guest's CC is provided), the payment details will be automatically stored in the Room Manager Credit Card Vault.
Note: According to the PCI Compliance Security Standards Room Manager is not allowed to store the credit card's CCV number. The CCV number will be removed from Room Manager as soon as you save changes.
To access the credit card details follow the steps below:
1.Open booking reservation form and select Payments tab
2.Click on View credit card details currently stored in the vault link under the Credit Card Vault section
3.A pop-up window will appear asking for a password. Enter your Credit Card Vault password and click Show button
By default the password will be your Room Manager Operator ID (located at the top of the Business Details screen under Setup menu)
4. You can change your default password by clicking on the Change Password link. On the pop up window enter your current password and a new password (must have at least 6 characters) and click Change Password button.
5. If you don't remember your password click on the Forgot Password link to contact the Room Manager Support Team
Once you enter your Credit Card Vault password and click Show button, the payment details will appear on the screen.
The cc details are displayed as an image and cannot be copied from the screen.
Important: Due to the PCI Compliance Security Standards, Room Manager is not allowed to store the credit card's CCV number. The CCV number is sent via email and will be included in a password protected PDF attachment.
